1. Introduction
These Terms of Service ("Terms") govern your use of TendBot, an AI-powered personal assistant service provided by TendBot AB, registered in Stockholm, Sweden ("we", "us", "TendBot").
By creating an account or using the service, you agree to these Terms. If you do not accept the Terms, you should not use the service.
2. Service Description
TendBot is an AI-driven personal assistant that helps professionals manage email, calendar, and administrative coordination. The service includes:
- A personal AI email address (name@tend.bot) to send and receive emails on your behalf
- Calendar integration with Google Calendar
- Contact lookup via Google Contacts to help address emails and identify meeting participants
- An approval system where all write actions require your explicit approval
- Memory — a persistent memory that learns your preferences and contacts over time
- Daily briefing summarizing meetings, emails, and tasks
- Notebook — a shared workspace between you and your AI assistant
3. Account and Registration
You must be at least 18 years old to use the service. You are responsible for keeping your login credentials secure and for all activity that occurs under your account.
You agree to provide accurate and complete information during registration and to update this information if it changes.
4. Approval System and User Responsibility
TendBot's security architecture is built on the principle of "maximum usefulness, full user control". The AI assistant can never perform write actions — such as sending emails, booking meetings, or modifying your calendar — without your explicit approval.
Each action is assigned a risk level:
- Low risk (green) — minimal consequence, easily reversible (e.g., creating a calendar event)
- Medium risk (amber) — some consequence, usually reversible (e.g., sending email to a known contact)
- High risk (red) — significant consequence, hard to reverse (e.g., forwarding email to a new recipient)
You are responsible for reviewing and approving or rejecting the actions proposed by the AI assistant. Approval requests that are not responded to within the specified time limit will expire automatically.
5. Email Handling
Your AI email address (name@tend.bot) is linked to your account. All outgoing email is sent from this address — never from your personal email address.
If you connect your personal email (Gmail, Outlook, etc.), the AI assistant has read-only access. The assistant can never send, delete, or modify emails in your personal inbox.
Incoming email to your tend.bot address from unknown senders is automatically quarantined for your review.
6. Pricing and Payment
TendBot offers a free 14-day trial with full functionality. No credit card is required. After the trial, the service is available as a paid subscription (monthly or annual). Current pricing is available at tend.bot. We reserve the right to adjust prices with 30 days' notice.
Paid subscriptions are billed in advance. Missed payments may result in temporary suspension of the service. You can cancel at any time — access continues until the end of the paid period.
7. Data Handling and Privacy
We take your privacy seriously. All data is stored in the EU (Supabase EU region). We never share your data with third parties for marketing purposes.
TendBot never processes the following sensitive data:
- Credit card numbers — payments are handled directly by your payment provider
- Passport numbers or identity documents
- Health data

8. Your Rights (GDPR)
In accordance with the EU General Data Protection Regulation (GDPR), you have the following rights:
- Right of access — you can export all AI-processed data from your account
- Right to erasure — you can request deletion of all your data
- Right to rectification — you can correct data in Notebook and Memory
- Right to data portability — export in structured JSON format

9. Data Retention and Deletion
We store your data as follows:
- Conversation history — duration of subscription + 30 days
- Notebook entries — duration of subscription
- Audit logs — 2 years (compliance requirement)
- AI-processed emails — 90 days
Upon account deletion, your data is removed after a 7-day grace period.
10. Security
We implement industry-leading security measures to protect your data:
- Encryption at rest and in transit
- Row-level security (RLS) — strict data isolation per user
- OAuth tokens stored encrypted
- Full audit logging of all actions
- Prompt injection protection — external data is isolated and sanitized
11. Limitation of Liability
TendBot is provided "as is". We do not guarantee uninterrupted or error-free operation. The AI assistant can make mistakes — that's why the approval system exists.
We are not liable for:
- Decisions you make based on the AI assistant's suggestions
- Disruptions in third-party services (Google, Apple, etc.)
- Content of emails sent after your approval
- Indirect damages, lost profits, or missed business opportunities
Our total liability is limited to the amount you have paid for the service during the preceding 12 months.
12. Intellectual Property
All software, design, and technology behind TendBot belongs to TendBot AB. You are granted a limited, non-exclusive, and non-transferable right to use the service during your subscription period.
Your content (emails, notes, calendar data) remains your property.
13. Acceptable Use
You agree not to use the service to:
- Violate any applicable law or regulation
- Send spam, phishing, or fraudulent messages
- Harm, disrupt, or overload the service
- Attempt to circumvent security mechanisms or reverse-engineer the service
- Impersonate another person
We reserve the right to suspend accounts that violate these rules without notice.
14. Termination
You may cancel your subscription at any time. The service remains active until the end of the paid period.
We may terminate your account for breach of these Terms, with reasonable notice where possible.
Upon termination, you retain the right to export your data for 30 days. Your tend.bot email address will be deactivated and cannot be reused by others.
15. Changes to Terms
We may update these Terms. For material changes, we will notify you via email at least 30 days in advance. Continued use after the effective date constitutes acceptance of the updated Terms.
16. Governing Law and Dispute Resolution
These Terms are governed by Swedish law. Disputes shall be resolved through negotiation in the first instance. If the parties cannot reach an agreement, the dispute shall be settled by the Swedish public courts, with Stockholm District Court as the court of first instance.
